It’s no secret that technology lives at the very heart of modern staffing, but is your tech stack smothering your team’s ability to be effective?
If those technologies don’t communicate with each other, and if the integrations aren’t structured to meet your firm’s unique workflow needs, then the simple answer is yes.
In the ideal environment, you’d be able to streamline workflows and boost productivity with a single system of record built for staffing and recruiting that can quickly and securely connect to an extensive network of pre-vetted, and pre-integrated technologies.
Unfortunately, most staffing solutions don’t offer that ideal experience. So, let’s take a look at the top 3 challenges staffing firms face when using standard marketplace or ecosystem integrations, and what you can do to avoid them.
1. Data Integrity and Security
The first, and largest concern for staffing, is data. Primarily data integrity and security. Unlike a standalone ATS or point solution, your system of record hosts personally identifiable information (PII) that must be collected, maintained, and protected in accordance with local legislation. But, when you connect that system of record to a new app from a marketplace or a “partner” in an ecosystem, you’re granting them access to that PII via API – which then creates a weakness that can quickly morph into a liability if that app or partner wasn’t properly vetted before being added to the marketplace or ecosystem.
If your system of record provider doesn’t have a selection criteria, but instead utilizes a public or open API, then it’s best to find a new technology that ensures security protocols are in place and data integrity is preserved to meet compliance standards.
2. Scalability
As we transition out of a pandemic into the new normal, staffing firms will have the unique opportunity to grow and scale quickly if they have the right technology and processes in place.
On the flip side, playing connect the dots with point solutions in a disjointed tech stack can cut your progress off at the knees.
For example, a handful of candidates reach out to see if you have any openings. Your team takes 2 hours to see that a request came in because the notifications pop up in an obscure dashboard on the communications platform rather than the system of record.
Your team then spends an additional hour and a half sending individual messages to each applicant because the communications platform “integrated” with your system of record doesn’t allow for mass messaging.
Your competition, however, recently invested in a true end-to-end solution that deeply integrates with a pre-vetted communications technology with automated workflows. Their team was able to respond immediately.
Which group do you think will win the war for talent at scale?
Your competition.
If you don’t want to find yourself in that position, then you need a solutions provider that enables you to quickly deploy best-in-breed technologies that support your team as you ramp up and scale.
3. Experience
While it’s amazing to be able to click a button in a marketplace and instantly have access to a new tool, you can’t lose sight of why you needed the tool in the first place. Most integrations are selected because they provide features or functionality that are necessary to improve the talent, client, or staffing firm’s experience.
Not all integrations, however, are created equal. The ideal integration goes beyond sending basic data from one system to another. It considers how the data will be used, and what other actions need to be triggered.
Let’s take a look at two integrations.
Integration A
After sending a mass message through your messaging platform, Integration A pulls the information from the message into the system of record. Your team can view the data in the system of record, but can’t take action unless they log back into the messaging system.
Integration B
Integration B let’s you send mass messages electronically through your system of record. The system of record then triggers the next steps in the onboarding process automatically after the candidate touch-point has been completed. You can keep track of the progress and take additional action from your system of record at any time.
It is clear that integration B is by far the better experience. Not only does it save your team from logging into separate systems to take action, it improves the candidate experience because they’re able to continue with the next step of their onboarding immediately after engaging with your message.
Unfortunately, the level of time, effort, and money required to build Integration B is significantly higher than Integration A. So, in order to maintain profitability, a number of providers opt for a wider variety of shallow integrations with favorable rev share opportunities rather than spend the resources necessary to develop a smaller variety of deep integrations that are more beneficial to the end users.
